BILINGUAL ADMINISTRATIVE ASSISTANT
JOB DESCRIPTION
Reports to: CEO
Position Summary: The Administrative Assistant attends to Center visitors and handles inquiries on the phone and face to face. Supplies information regarding the organization, including Chandler Food Bank,FamilyResourceCenter, CAP office, andSeniorCenter, to the general public, customers, and volunteers. Implements administrative systems, procedures, and policies, and develops and updates administrative projects.
Duties include:
- Answers the phone, screens, and directs calls, including providing information to callers and taking and relaying messages.
- Greets visitors entering the Center, logs visitors as neeeded, and directs people to the correct program or personnel.
- Schedules customers for various programs and Center activities.
- Handles inquiries from the public and from customers.
- Maintains, organizes, and inventories office and program supplies by checking stock to determine inventory level; anticipating needed supplies; placing orders for supplies; verifying receipt of supplies.
- Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
- Develops and revises systems and procedures by analyzing operating practices and recordkeeping systems.
- Prepares reports, analyzes data, and identifies solutions.
- Ensures classrooms, playroom, and common areas are clean and set up/prepared for daily activities.
- Maintains and displays Center monthly activity calendar.
- Maintains classroom registration log/forms.
- Provides attendance sheets to group facilitators.
- Provides general administrative and clerical support.
- Prepares letters and documents.
- Receives and sorts mail and deliveries.
- Schedules appointments.
- Contributes to team effort by accomplishing related results as needed.
- Other duties as assigned.
Qualifications and Experience:
- High school diploma/GED
- Knowledge of administrative and clerical procedures
- Strong oral and written communication skills and able to interface with internal and external customers
- Strong computer skills including Internet and Microsoft Office applications (Word, Excel)
- Organizational skills
- Knowledge of customer service principles and practices
- Bilingual (English/Spanish)
- Must be able to obtain a Level One fingerprint clearance card from DPS and pass a Central Registry background check.
